This policy explains how ALM Media Design ("we", "us") uses the personal information you give us, for example when you email us, use the enquiry form on this website, fill in one of our Facebook forms or message our Page. We keep it short and plain.
Who we are
ALM Media Design builds websites, apps, AI assistants, automations and media for UK small businesses. We are the "data controller" for your information.

What we collect
When you contact us or fill in a form, we may collect:
- your name, phone number and email address
- your business name and type, and what you're interested in
- anything else you choose to tell us in a message or form
We don't ask for payment details through our forms, and we don't collect sensitive information.
The enquiry form on this website doesn't store anything itself: it opens your own email app with your message ready, and you choose whether to send it. This website doesn't use advertising or analytics cookies. Like most websites, our hosting provider may keep basic technical logs (such as IP addresses) to keep the site running and secure.
Why we use it
- To reply to your enquiry and talk to you about what you need. Lawful basis: steps at your request before entering into a contract, and our legitimate interest in replying to business enquiries.
- To send you a quote and, if you go ahead, to deliver and support your project. Lawful basis: contract.
- To keep simple business records (for example, accounts and tax). Lawful basis: legal obligation.
We will only contact you about your enquiry. We won't send you marketing newsletters unless you ask for them, and you can tell us to stop contacting you at any time.
Who we share it with
We don't sell your information. We only share it with:
- Meta Platforms (Facebook/Messenger), which collects form answers and messages on our behalf under its own terms and privacy policy.
- Services we use to run the business, such as email, website hosting, phone and secure file storage providers, who only use it to provide those services to us.
- Professional advisers (e.g. our accountant) or authorities if the law requires it.
Some of these providers may store data outside the UK. Where they do, they use legally approved safeguards, such as the UK International Data Transfer Agreement or Addendum, or a UK adequacy decision.
How long we keep it
- Enquiries that don't go ahead: deleted within 12 months of our last contact.
- Customers: kept for as long as we work together, then for 6 years for accounts and legal reasons.
Your rights
Under UK data protection law (UK GDPR and the Data Protection Act 2018), you can ask us to:
- give you a copy of your information
- correct it
- delete it
- stop or limit how we use it, or object to it
- move it to another provider (where this applies)

Complaints
If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113.
Changes
If we update this policy, we'll change the date at the top.
